Invite users and assign licences

Your team works in Excel. As an administrator, you use the web portal for three things: inviting people, giving them a licence, and following usage. This page covers the first two.

Sign in to app.mobyanalytics.com and click the gear icon, Settings. You land on Users & licenses.

How licences work

A licence is a seat. You buy seats into a pool, then give a seat to each person who uses the add-in.

StepWhereGood to know
Buy seatsBuy licenses, or Add seat on the licences cardChoose the quantity, then Proceed to payment
Give a seatAssign a license, on the row of the memberAssigning never triggers a payment: it uses a seat of the pool
Take a seat backRemove license, on the row of the memberThe person loses access at once. The seat returns to the pool
Reduce the poolRemove seat on the licences cardOnly for seats nobody holds. The removal takes effect at the next renewal

Everyone who uses the add-in needs a seat, administrators included.

Invite someone

  1. In Users & licenses, click Invite a user.
  2. Enter the e-mail address. The name is optional.
  3. Choose the Role: User, Manager or Admin. See Roles.
  4. Leave the licence box ticked to give a seat as soon as the invitation is accepted. With no seat left in the pool, buy one first, or invite without a licence.
  5. Click Invite, or Invite without a license when the box is not ticked.

The person receives an invitation by e-mail. Until they accept it, their row shows Invitation sent. Cancel invitation withdraws it and frees the seat.

Next, send them Install and sign in.

Manage a member

You want toDo this
Change a role or a nameOpen Edit user for the member
Set the accounting standard of a memberEdit user. They can also change it themselves in the add-in
Give or take back a licenceAssign a license or Remove license on their row
Remove someone from the firmDelete user from company on their row
Keep a list of the membersDownload gives the list as an Excel file

A member without a licence shows No license. They cannot sign in to the add-in, but they can still open a workbook in consultation mode: its documents, without the chat and the workflows.

Add credits

Each licence comes with a usage budget for the billing period. When a member has used theirs up, their new runs are refused.

Add credits, on the row of the member, tops up their budget: 5, 15, 30, 60 or 120 € excluding tax. Credits are valid until the end of the current billing period.

Name a support contact

By default, the requests your team sends from the add-in go to the Moby team. You can have them read by someone in your firm first.

  1. Open Edit user for the member and switch on Support contact.
  2. That person now sees the Support tab, with the requests of the firm, the screenshots and the files attached.
  3. They answer the questions by e-mail, mark a request in progress or resolved, and pass technical problems on with Escalate to Moby.

The support contact does not need a licence. With no support contact, requests go straight to Moby.

Clients and projects

The Clients & projects tab holds the list of your clients and of their projects. In the add-in, anyone can then file a workbook under a client and a project, from Workbook, then Client & project.

  • These labels organise the workbooks of the firm. They change neither the documents nor who can access them.
  • Clients and projects are created on the portal. In the add-in, they are only picked.
  • You can export the list as an Excel file, and import one to add entries in bulk.

If a payment fails

A banner Payment failed appears at the top of the add-in for the whole firm. As an administrator, click Update payment on the banner, or open the Billing tab, to update the payment method and keep the access of your team.
