Workspace Tools

Moby provides several tools to help you prepare documents before running tests or extractions.

Split PDF

Use Split PDF when you have a bundled document — multiple documents scanned or combined into a single PDF file.

When to use

  • A vendor sent a single PDF containing multiple invoices
  • Scanned documents were bundled together
  • A bank statement PDF contains multiple months
  • Any situation where one PDF should be several files

How it works

  1. Select the bundled PDF in your Workspace
  2. Click Split PDF from the actions menu
  3. Moby's AI analyzes the document and detects where each individual document starts and ends
  4. Review the suggested splits — Moby shows you the detected boundaries
  5. Adjust if needed (add/remove split points)
  6. Confirm to create the separate files

The split files are saved to the same folder as the original, with descriptive names based on the content.

Split hints

You can provide a split hint to help Moby understand your documents better:

These are supplier invoices. Each invoice starts with "INVOICE" at the top.
Split by month. Each section starts with a date header like "January 2024".

Tips for better splits

  • Clear visual boundaries work best — headers, logos, page breaks
  • Consistent formatting across documents improves accuracy
  • For problematic documents, use manual split points to guide the AI
  • Documents with 10+ pages per sub-document typically split better than very short ones

OCR to Excel

Use OCR to Excel when you need to convert scanned or image-based tables into editable spreadsheet format.

When to use

  • Scanned bank statements with transaction tables
  • Image-based PDFs with tabular data
  • Printed reports that need to be in Excel
  • Any scanned document with tables you need to work with

How it works

  1. Select the document in your Workspace
  2. Click OCR to Excel from the actions menu
  3. Choose which pages to process:
    • All pages — Process entire document (up to 50 pages)
    • Page range — Specify specific pages containing the tables you need
  4. Moby processes the pages using Azure Document Intelligence
  5. An Excel file is created with one sheet per page
  6. Tables are automatically detected and formatted with proper columns

The Excel file is saved to the same folder as the original document.

What you get

  • One sheet per page — Easy to navigate large documents
  • Proper table structure — Columns and rows preserved
  • Formatted headers — Table headers are styled for easy identification
  • Clean output — Tables are ready to use without manual cleanup

Limits

  • Maximum 50 pages per OCR job
  • Works best with clearly printed tables
  • Handwritten content may have lower accuracy
  • Very complex layouts (nested tables, multiple tables per page) may need manual adjustment
For large documents

If your document has more than 50 pages, split it first using Split PDF, then OCR each part separately.


Merge PDFs

Use Merge when you need to combine multiple PDF documents into a single file.

When to use

  • Combine an invoice with its supporting documentation
  • Merge contract pages that were scanned separately
  • Create a single file for archival or export
  • Combine related documents for easier reference

How it works

  1. Select multiple PDF documents in your Workspace (must be in the same folder)
  2. Click Merge from the actions menu
  3. Arrange the order of documents (drag and drop)
  4. Provide a name for the merged file
  5. Click Merge to create the combined PDF

The merged file is saved to the same folder as the source documents.

Requirements

  • All documents must be PDFs
  • All documents must be in the same folder
  • At least 2 documents required
  • Documents must be in your Workspace (not Collection)

Tips

  • Order matters — Arrange documents in the sequence you want them to appear
  • Descriptive names — Give the merged file a clear name that indicates its contents
  • Original files preserved — The source documents remain unchanged; only a new merged file is created
